This policy is a working document. Fields marked with [brackets] must be updated with your registered company details before this policy is live. We recommend having this reviewed by a UK data protection solicitor before publishing.

1. Who We Are (Data Controller)

CLAVE is operated by CLAVE GTM LTD, a company registered in England and Wales.

We are registered with the Information Commissioner's Office (ICO) as a data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Data We Collect and Why

2.1 Account and Organisation Data

When your organisation is onboarded to CLAVE, we collect:

2.2 Business Context Data (Brain / ICP)

CLAVE asks you to input information about your company's go-to-market context, including:

  • Ideal customer profile (ICP) descriptions
  • Buyer personas and roles
  • Value propositions and messaging frameworks
  • Competitive positioning notes

This data contains no personal data about individuals. It describes your company's positioning and is used solely to generate GTM intelligence outputs for your team.

Legal basis: Contract performance, this data is necessary to provide the core service.

2.3 Account Intelligence Data

When you run a journey on a target account (a company you are prospecting), CLAVE processes:

  • The target company name and publicly available business information (funding rounds, leadership changes, job postings, press releases)
  • Strategic intelligence outputs generated by CLAVE's AI agents
  • Sales plays, email drafts, and briefing content generated for your team

The individuals named in intelligence briefs (e.g. a CEO or CMO at a prospect company) are business professionals acting in their business capacity. CLAVE only processes publicly available professional information about them. We do not collect, store, or process any personal or private information about individuals.

Legal basis: Legitimate interests, to provide AI-powered B2B sales intelligence using publicly available business data.

2.4 CRM Integration Data (HubSpot)

If you connect your HubSpot account, CLAVE will:

  • Read contact records, deal stages, and company data from your HubSpot account via the HubSpot API
  • Use this data to contextualise AI-generated intelligence outputs
  • Not permanently store raw HubSpot records, CRM data is fetched at the time of a request and not retained in CLAVE's database beyond the session
  • Store the AI-generated outputs (briefs, POVs, plays) which may reference information drawn from CRM context

Legal basis: Contract performance and legitimate interests. You remain the data controller for your HubSpot data. CLAVE acts as a data processor in respect of any personal data accessed through the HubSpot integration.

A Data Processing Agreement (DPA) governing this relationship is available on request.

2.5 Usage and Technical Data

3. Where Your Data Is Stored

CLAVE is currently hosted on infrastructure operated by the following sub-processors. We are committed to UK data residency and are in the process of configuring all data storage to UK/EU regions.

Primary application database. Stores all account data, brain context, journey outputs, and usage logs.

Cloud Infrastructure Provider (Application Hosting)

Hosts the CLAVE application server. All data in transit is encrypted via TLS.

OpenAI (AI Processing)

Powers the AI agents (Signal Interpreter, GTM Motion Planner, Execution Agent). Input data is used solely to generate your output and is not used to train OpenAI models under the API terms.

HubSpot

EU

European Union (EU)

CRM integration. Your HubSpot data remains in HubSpot's infrastructure. CLAVE reads it via API and does not retain a copy.

International transfers: Some of our sub-processors are based in the United States. Where personal data is transferred outside the UK, we rely on UK International Data Transfer Agreements (IDTAs) or equivalent mechanisms approved by the ICO. On request, we can provide copies of the relevant transfer mechanisms in place.

5. Your Rights Under UK GDPR

Right of access

Request a copy of the personal data we hold about you (Subject Access Request / SAR).

Right to rectification

Ask us to correct inaccurate or incomplete data about you.

Right to erasure

Ask us to delete your personal data ('right to be forgotten'), subject to our legal obligations.

Right to restriction

Ask us to pause processing of your data while a dispute is resolved.

Right to data portability

Receive your data in a structured, machine-readable format.

Right to object

Object to processing based on legitimate interests. We will stop unless we can demonstrate compelling legitimate grounds.

Right to withdraw consent

Where we rely on consent as a legal basis, you can withdraw it at any time without affecting prior processing.

6. Security

  • All data in transit is encrypted using TLS 1.2 or higher
  • All data at rest in the database is encrypted by Neon's infrastructure
  • Access to the platform is protected by username/password authentication
  • Admin access is restricted to authorised personnel only
  • Tenant data is logically isolated, no user can access another organisation's data
  • We review and update our security practices regularly

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the ICO within 72 hours of becoming aware, as required by UK GDPR Article 33.

7. Cookies

CLAVE uses only essential session cookies required for authentication and to maintain your login state. We do not use advertising, analytics, or tracking cookies. No cookie consent banner is required for essential cookies under the UK Privacy and Electronic Communications Regulations (PECR).

8. Third-Party Links

CLAVE may display information sourced from publicly available third-party websites (e.g. news articles, company announcements). We are not responsible for the privacy practices of those third parties. Links to external sites are provided for reference only.
